Account & Data Deletion Request

You can delete your GatherSafe account and associated personal data at any time, directly in the app. This page explains how, what gets deleted immediately, what is retained and why, and the email-based alternative if you can’t access the app.

Delete Your Account In the App

Open GatherSafe and go to Settings → Delete Account. Re-enter your password and confirm — deletion takes effect immediately, no waiting on a request to be processed.

If you own your organization’s GatherSafe account, two things can require a step first:

  • If other members are still in your organization, you’ll need to transfer ownership to one of them first (Settings → Administration → Transfer Ownership) so the organization keeps functioning.
  • If you’re the only member, you’ll need to cancel any active subscription first — in Settings, or through the App Store/Play Store if that’s how you’re billed — so deleting your account never leaves a subscription billing with no one attached to it.

Regular members (not the organization owner) can delete their account at any time with no extra steps.

If You Can’t Access the App

If you no longer have the app installed or can’t sign in, send a deletion request by email to info@gathersafeapp.com. To help us process your request quickly and verify ownership of the account, please include:

  • The email address associated with your GatherSafe account.
  • Your display name and the name of your organization, if known.
  • A brief statement confirming that you are the owner of the account.

The button above opens your default email client with a prefilled message addressed to our privacy inbox, and copies our address to your clipboard either way. If nothing opens, simply paste it into a new email to info@gathersafeapp.com directly.

What Gets Deleted

Whether you delete in-app or by request, we remove the following from our systems:

  • Your account profile (email, display name, phone number, hashed password).
  • Your group memberships and role assignments — you’re removed from every group and channel.
  • Your push notification tokens (Apple, Google, Expo).
  • Your location history captured by the Service.
  • Any pending password-reset links and active sign-in sessions on every device.

What May Be Retained, and Why

Some data is retained for limited purposes, even after account deletion:

  • Messages, alerts, and incident reports: these remain visible to your team as part of the organization’s safety record — panic alerts and incident reports in particular are exactly the kind of history a security team needs to keep intact. Your name is replaced with “Deleted User” rather than removing the record entirely.
  • Push-to-talk recordings and logs: if your organization has PTT recording enabled, audio you transmitted remains in the organization’s recording archive subject to that organization’s retention policy. Contact your organization administrator to delete recordings.
  • Schedules, trainings, and documents you created: these are organization-owned content and stay in place, attributed to “Deleted User” instead of you.
  • Billing records: records of subscription transactions are retained as required by tax and accounting law, typically for seven years.
  • Security and abuse logs: a minimal log of authentication events and abuse signals is retained for up to 90 days for security and fraud-prevention purposes.
  • Information our service providers retain: Stripe and similar providers may retain transaction or device records under their own retention rules. We instruct our processors to delete data on request, but the timing is governed by their systems.

Organization-Owned Data

GatherSafe is built for organization-managed accounts. Some data is owned by the organization rather than by you individually. This includes the organization name, campus configuration, group structure, alert history, incident reports filed by other members, and PTT recordings stored under the organization’s plan. Deleting your individual account does not delete that data. If you are an organization administrator and want to delete your entire organization’s data, indicate that clearly in your request and confirm your administrator role.

Timeline

Deleting your account in the app takes effect immediately — your password confirms it’s you, so there’s no separate verification wait. For email requests, we acknowledge within 3 business days and complete deletion within 30 days of verifying your request. If we need additional time to comply (for example, when retention is required by law or by an open investigation), we will explain the delay and the legal basis for it.

Verifying Your Request

In-app deletion is verified by re-entering your password — no separate step needed. For email requests, we verify that the request comes from the account owner: in most cases this means we send a confirmation email to the address on file and require you to reply from that address. If you no longer have access to that email account, contact us and we will work with you to find another verification method.

Cancelling Your Subscription

Submitting a deletion request does not automatically cancel any active subscription billed through Apple App Store or Google Play. To stop future charges, please cancel your subscription separately:

  • iOS: Settings → Apple ID → Subscriptions → GatherSafe → Cancel Subscription.
  • Android: Google Play Store → Subscriptions → GatherSafe → Cancel Subscription.
